Accounts Receivable Specialist Salary: $42,015.00 - $56,720.00 Annually Location : Westminster, MD

Job Summary

This position is responsible for performing a variety of accounts receivable functions in a number of systems including Colleague, TouchNet, Lumens and USAepay pertaining to student, contract, and third-party billing; processing invoices; and performing related cash and recordkeeping functions. The Accounts Receivable Specialist reports to the Senior Business Operations Manager.

Essential Job Functions

  • Processes receipts and posts payments in Colleague or other required system; processes various payments including but not limited to tuition for credit/non-credit courses, tests, transcripts, field trips, scholarships, canteen cards, gift certificates, textbook accounts, etc.; places hold on accounts following College procedures.
  • Disburses and reimburses all petty cash accounts and maintains security and accuracy of all monies in the Business Office.
  • Handles all processing for non-sufficient fund checks, coordinating student repayments and eventual referrals for collections.
  • Works directly with the bank and student to initiate stop payments for lost and damaged checks and replacement of those checks by the Controller.
  • Works directly with students to resolve billing problems and corrects any student accounting errors; may receive and process all related payments as well as maintaining history files on delinquent payments and then initiates further billing and collections.
  • May work in a separate automated system to initiate and maintain the billing and collection processes for the Childcare Programs or work with various voucher systems within the College.
  • Assists Accounting Office in monthly reconciliation for the Colleges bank account and credit card processes.
  • May receive employee waivers; compares and verifies accuracy of student records before coding and processing. May process refunds on both the credit/non-credit side of the College including but not limited to financial aid, loans, and special request from Fiscal Affairs and Student Affairs; may process adjustments to the Veterans Administration when necessary.
  • May assign and oversee work performed by temporary staff.
  • May serve as liaison with State of Maryland collections department to resolve delinquent accounts.
  • May update rate tables; creates reports and spreadsheets as required.
  • Initiates interactions with other offices in order to verify information and make any necessary adjustments to accounts as needed.
  • May act as support to contract/sponsor billing functions.
  • Adhere to FERPA regulations.
  • Performs other duties as assigned.

Minimum Requirements to Perform Work

  • Associates Degree plus three years of experience relevant to the specifics of the essential functions and areas of responsibility OR high school diploma or equivalent and five years of prior office experience relevant to the specifics of the essential functions and areas of responsibility
  • Demonstrated aptitude and proficiency learning and using new technologies
  • Proficiency with Microsoft Excel, Word and other office software applications in a Windows environment (spreadsheet, database, presentation graphics, web authoring software)
  • Excellent organizational skills and the ability to multi-task to successfully balance multiple competing priorities
  • Excellent ability to work with and learn new technology
  • Excellent customer service skills, friendly demeanor, respect for confidentiality and understanding and acceptance of people from various backgrounds
  • Excellent written and oral communication skills
  • Must be positive, cooperative, and supportive
  • Ability to work independently

Preferred Skills

  • Prior experience in Accounts Receivable accounting functions.
  • Associates Degree
  • College coursework in basic accounting OR verifiable training in accounting methods OR systems to encompass basic accounting functions
  • Previous experience with Colleague or other relevant accounting software and CRM systems

Supplemental Information

SALARY INFORMATION:

This full-time position will be placed on the College 12-month employee Non-Exempt Staff salary scale at grade 10. Actual salary placement based on qualifications and experience. Position includes an excellent fringe benefits package.

PHYSICAL DEMANDS:

This work is normally sedentary work which requires exerting up to 10 pounds of force occasionally and or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Additionally, the following physical abilities are required:

  • Visual Acuity/ability to perceive or detect surroundings
  • Mental acuity Ability to focus, concentrate, understand, and convey subject matter
  • Repetitive motion (i.e., keyboarding)

WORK ENVIRONMENT:

College campus, direct contact with diverse students, staff, faculty and the general public in classrooms, common and shared areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms. Use of safe workplace practices with office equipment; computers for data entry and word processing with some highly technical applications and new technology systems; avoidance of trips and falls; observance of fire and building safety regulations; observance of all College policies; and observance of traffic laws when/if driving College vehicles.

TO QUALIFY FOR EMPLOYMENT, SELECTED CANDIDATES MUST:

  • successfully complete a criminal background check (for designated positions)
  • be able to work on campus as of the first day of employment
  • be a resident of DE, MD, PA, VA, WV or DC as of the first day of employment
  • be currently authorized to work in the US, as the College does not offer Visa sponsorships
