Job Description
The Museum of Modern Art is currently accepting applications for an Assistant in the Collection and Exhibition Information Department to provide support for a project that aims to catalog (and in some cases image) works not currently entered into the Museum's collection management system from both our collection and study collection holdings. This is a one-year, fixed term position.
Responsibilities: - Supports efforts to maximize the benefits of the collections management system.
- Provides first-level assistance to Museum staff using Gallery Systems' The Museum System (TMS) software.
- Completes weekly quality-assurance data reviews, working with Museum staff to confirm updates.
- Coordinates cleanup and data entry standards implementation activities with curatorial and Collection Management and Exhibition Registration (CMER) staff, exercising a high level of attention to detail and sensitivity to all concerns.
- On a daily basis, performs all necessary steps to ensure media workflow from Imaging and Visual Resources's Digital Asset Management (DAM) system into TMS , with a focus on leveraging the Medialoader and Thumbnailer tools to support batch ingestion of media for the Cataloguing Project.
- Assists with documentation of data entry standards, workflows, and procedures, memorializing the processes used during the uncatalogued objects review and imports into TMS.
- Creates and assigns security permissions to new user accounts, per standard information access guidelines.
- Provides data entry assistance in situations where batch-entry or importing are necessary, and leverages the TMS Importer tool to batch create/update new records generated by the Cataloguing Project.
- Shares virtual training session information and reviews exercises for new and existing TMS users.
- Coordinates administrative tasks for the department (office supplies, travel, scheduling).
- Performs any other duties reasonably related to the functions described above.
Requirements: - Bachelor's degree and at least one year experience in a museum, art gallery, or similar organization.
- Experience with Gallery Systems' The Museum System (TMS) or a comparable collections management system required.
- Familiarity with standard museum procedures for cataloging and recording locations, acquisitions, and incoming and outgoing loans, and for managing exhibitions.
- Excellent interpersonal skills and ability to work independently with limited supervision.
- Proficiency with Microsoft Excel/Google Sheets.
- Excellent analytical, organizational, writing, and proofreading skills with meticulous attention to detail.

Salary: The salary for this position is currently $51,611 per annum, increasing to $53,675 May 24, 2025.
