We are seeking a dynamic and experienced Executive Assistant to directly support the CEO with secondary support to several other Senior Management personnel.

About the Role:

The Executive Assistant will play a vital role in supporting senior leadership with administrative, operational, and project-based tasks. This position requires a proactive professional who thrives in a fast-paced, high-energy environment and can handle confidential matters with professionalism and discretion.

You will be a critical partner to the leadership team, helping to streamline communication, manage projects, and contribute to key presentations and reports that drive company growth.

Key Responsibilities:

  • Compose and prepare routine correspondence, reports, and other documents for executive signature.
  • Coordinate, process, and notarize legal documents, contracts, and other critical materials.
  • Assist in the development and refinement of high-quality presentations and ad hoc reporting.
  • Manage executive calendars, appointments, and meeting schedules; coordinate inter-office meetings and serve as a liaison between executives and staff.
  • Arrange and coordinate complex travel itineraries, including flights, hotels, car rentals, and event registrations.
  • Attend meetings as needed to provide support, furnish information, and take detailed notes.
  • Serve as a key communication point between executives and internal staff, ensuring directives and updates are effectively communicated and executed.
  • Support project management efforts and collaborate with cross-functional teams to achieve key operational goals.
  • Develop and deliver reports, manage expense reporting, and provide administrative assistance for special projects.
  • Perform other duties as assigned to support executive operations.

What We're Looking For:

  • Experience: 2+ years of experience supporting Executive Officers, preferably in a fast-paced, entrepreneurial environment.
  • Education: Bachelor’s Degree preferred, but relevant experience will be considered in lieu of a degree.
  • Skills: Exceptional written and verbal communication skills.
  • Highly detail-oriented with superb organizational and follow-through abilities.
  • Strong time management skills and the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with presentation development.
  • Ability to handle confidential matters with discretion and professionalism.
  • A confident, resourceful, and proactive attitude with a solutions-oriented mindset.
