The Property Management Department plays a critical role in delivering the experiences that animate the places in the Pearl neighborhood. The individuals who join the Property Management team have the unique ability to reinforce the Pearl brand through the selection of partners to occupy our spaces and the effective operations of Pearl, both of which make Pearl unique.
The Operations Property Manager (OPM) will lead the day-to-day operations, budgeting, and reporting on variance explanations of the common areas at Pearl. Lead the recovery and escalation process through the reconciliation of project common area costs. Manage capital improvements to common areas in accordance with Pearl’s long-term capital plan. Coordinate property logistics and serve as the primary communication point for repairs, improvements and disruptions that may impact the rest of Pearl.
Essential Functions
Prioritize work to ensure that services provided to tenants and guests are exceptional.
Ensure that Pearl’s common areas are clean and well-maintained so that the Pearl brand is reinforced through every interaction with Pearl.
Lead the development of budget for the common areas of Pearl in conjunction with the accounting team. Report monthly on variance explanations.
Support the reconciliation of project common area costs and the completion of the annual audit.
Manage day to day parking operations to include oversight of parking management vendor.
Support the development and installation of parking signage and wayfinding. Accountable for the maintenance and updating of the Pearl parking model and the registration of associate and tenant parkers.
Vendor Management
Develops scope of work, solicits bids, evaluates proposals, and monitors contractor performance for operational activities as well as capital projects.
Lead development of scorecard for property and conduct periodic inspections of the buildings and associated grounds, review results with appropriate vendor or team member, preparing written report as needed. Oversee action to correct janitorial and maintenance deficiencies noted during these inspections.
Conduct vendor contract audits, complete RFP process and provide recommendation of vendors for Sr Property Manager approval
Determine specific service contract requirements in assigned functional areas. Contract as needed for the following services:
- Janitorial
- Landscaping and paver repairs
- Refuse collection
- Grounds maintenance
- Window washing
- Building access control
- Lot maintenance
- Security
- Pest control
- Parking management
- Elevator maintenance
- Signage
Sustainability
Accountable for the operations of food waste program and the management of the composting vendor.
Lead the day-to-day operations of sustainability initiatives such as reclaimed water and solar usage to include understanding applicable regulations and ensuring compliance.
Report monthly on Pearl’s sustainability efforts.
Leadership & Communication
Take immediate action to resolve property maintenance concerns and after hours needs with the assistance of the Facilities team. Create a system to audit Property Management and Facilities response time and resolution.
Guide and direct the Property Management and Accounting team on monthly accounts receivable invoices for tenant support work; reviews monthly reports of overdue accounts and assists in collecting overdue payments from tenants. Approve AP allocation worksheets.[MM4]
Manage special projects such as holiday decor installation, storage needs, Fiesta relations, and coordinate with various departments for site activations.
